Admins and reps
There are three roles. Two of them are yours, and one belongs to Solar Desk.
The person who signed the company up is an admin. An admin can do everything a rep can do, plus four things a rep cannot:
- Change pricing and assumptions, the page every figure your calculator produces comes from.
- Change theme settings: colours, wording, callback window, notification addresses, quote validity, whether finance is offered.
- Add to and edit the product catalogue, the panels, batteries and inverters your customers can choose from.
- Record an acceptance on a sent quote, which moves the lead to Bought and moves money into your confirmed total.
Those four have one thing in common: each of them changes what customers are told, or changes a headline figure. Everything else is day-to-day work.
The default, and what most of your team should be. A rep has the run of the pipeline:
- See every lead, open every lead, search, filter and export to Excel.
- Change any lead’s status, to anything.
- Add notes and send messages to customers.
- Upload, share and delete files.
- Build quote versions and send them.
Note the last one. A rep can put a price in front of a customer. The permission that stops short is recording the sale afterwards, not quoting, because a rep who cannot quote cannot sell.
There is also no per-rep visibility. Everybody sees everybody’s leads, and read state on customer messages is shared across the team. A five-person installer does not need lead ownership, and it is not there.
What a rep sees on the settings pages
Section titled “What a rep sees on the settings pages”The pages are not hidden. Pricing, Products and Theme all open, and a rep can read every figure and every colour on them. What they cannot do is change anything: the inputs are greyed out and a line reads
Only an admin can change these.

Showing the pages read-only is deliberate. A rep who cannot see your assumed electricity price cannot explain a saving figure to a customer who queries it, and a rep who cannot see the catalogue cannot tell somebody which panel they are being quoted.
The server refuses the change as well as the form, with “Only an admin can change pricing.”, “Only an admin can change the catalogue.”, or the theme equivalent. Nothing depends on the greyed-out inputs alone.
Operator
Section titled “Operator”Solar Desk’s own staff. Not part of your company, and not a role you can give anybody.
An operator can take an account live, suspend it, and preview any installer’s calculator before it is public. What an operator cannot do is read your leads. Not one, not ever. The console shows counts, how many leads, how many users, how many products, and never a name, an address or a figure.
That is a deliberate line rather than an oversight. Your leads are your data, held on your lawful basis, and an operator browsing them would be a different kind of relationship to the one we have with you. If support ever needs to see a lead, it will be something explicit and logged, not a guard quietly not applying.
What is not here
Section titled “What is not here”There is also no password reset, for any role. Nobody can recover their own password, so a forgotten one needs us to intervene. See limits and troubleshooting.
When the account is suspended
Section titled “When the account is suspended”A suspended account is read-only for everybody, admin and rep alike. Your pipeline is still there and still yours to read, and the banner says so, but nothing can be changed and the calculator is offline. Roles carry on meaning what they meant; there is simply nothing either of them can write.
